Services

Setting up services with pricing, durations, deposits, and custom fields.

Creating a Service

Services are configured in the Company Panel under Management → Services. To create a service, you only need:

  • Name — What clients see when booking
  • Rate — Price in your currency
  • Duration — How long the service takes

Everything else (description, buffers, deposits, custom fields) is optional and collapsed by default.

Categories

Services can be grouped into categories (e.g., "Exterior", "Interior", "Packages"). Categories are created inline — type a name in the category field on the service form and it's created instantly. Click the edit icon to rename or delete a category.

Required Skills

If a service requires specific expertise, select the required skills on the service form. Only team members with those skills will be bookable.

If you don't select any skills, every team member can perform the service — no restrictions.

Pricing

Flat Rate

A fixed price for the service, regardless of duration:

  • Express Wash: $35.00 (flat)
  • Full Detail: $299.00 (flat)

Hourly Rate

Price calculated based on actual time spent:

  • Consultation: $75.00/hour

Duration

Set the expected duration in minutes:

  • Fixed duration — Set a single value (e.g., 30 min)
  • Variable duration — Set a minimum and maximum (e.g., 90–120 min)

Calendence uses the duration to block the right amount of time on your team's schedule.

Buffer Time

Add padding before and/or after appointments:

  • Buffer before — Time for preparation (0–60 min)
  • Buffer after — Time for cleanup or travel (0–60 min)

Clients don't see buffer time — it's just built into the schedule automatically.

Deposits

Require clients to pay upfront when booking:

Type Description
None No deposit required
Flat Fixed amount (e.g., $50.00 deposit)
Percentage Percentage of service rate (e.g., 25%)

When a deposit is required, the client is taken to a secure payment page after confirming their booking.

Refund Policy

Configure what happens to the deposit if the client cancels:

  • Full refund — Always refund the deposit
  • Partial refund — Refund a percentage
  • No refund — Keep the full deposit

Custom Fields Growth Pro

Add extra fields to the booking form for information you need from clients:

  • Text — Short text input
  • Textarea — Long text input
  • Select — Dropdown with predefined options

Custom fields can be marked as required or optional.

Staff Picker

The Staff Picker toggle controls whether clients can choose their preferred staff member when booking this service:

  • Enabled — Clients see available staff and pick one
  • Disabled (default) — The system assigns the best available staff automatically

Enable this for services where clients have a preference (e.g., a regular technician). Disable it for services where any qualified staff member will do.
