When you create an account or use Calendence, we may collect the following information:
- Account information: Name, email address, phone number, and business details you provide during registration.
- Booking data: Appointments, schedules, client information, and service details you enter into the platform.
- Payment information: Billing details processed securely through Stripe. We do not store credit card numbers directly.
- Usage data: How you interact with our platform, including pages visited, features used, and device information.
- Third-party calendar data: When you connect an external calendar (e.g., Google Calendar), we access event times to check availability. We store event start/end times and mark them as "Busy" — we do not store event titles, descriptions, attendees, or other details from your external calendar.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the Calendence platform.
- Process bookings, payments, and invoices.
- Send booking confirmations, reminders, and other transactional communications.
- Sync calendar availability when you connect an external calendar.
- Provide customer support and respond to inquiries.
- Analyze usage patterns to improve our product.
3. Google Calendar Data
When you connect your Google Calendar to Calendence:
- We request access to read and write calendar events via the Google Calendar API.
- We read your calendar events only to determine when you are busy, so that clients cannot book conflicting appointments.
- We write Calendence booking events to your calendar so your schedule stays synchronized.
- We store only event times — not titles, descriptions, attendees, or other event details. External events are labeled "Busy" in our system.
- Your Google OAuth tokens are encrypted at rest and used solely for calendar synchronization.
- You can disconnect your Google Calendar at any time from the Integrations page, which revokes our access and deletes all stored calendar data.
- Calendence's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
4. Data Sharing
We do not sell your personal information. We may share data with:
- Stripe: For payment processing.
- Resend: For transactional email delivery.
- Google: Calendar data as described above, only when you explicitly connect your calendar.
- Service providers: Infrastructure and hosting providers necessary to operate the platform (e.g., Laravel Cloud).
We may also disclose information if required by law or to protect the rights, safety, or property of Calendence or its users.
5. Data Security
We implement industry-standard security measures to protect your data, including:
- Encryption of sensitive data at rest and in transit (TLS/HTTPS).
- Encrypted storage of OAuth tokens and API keys.
- Tenant isolation ensuring each business's data is separate.
- Regular security reviews of our codebase and infrastructure.
6. Data Retention
We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., financial records).
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request correction or deletion of your data.
- Revoke consent for data processing.
- Export your data in a portable format.

8. Cookies
Calendence uses essential cookies to maintain your session and preferences. We use Google Analytics on our public marketing site to understand traffic patterns. No tracking cookies are used within the application itself.

We may update this privacy policy from time to time. We will notify users of material changes via email or in-app notification. Continued use of the platform after changes constitutes acceptance of the updated policy.
